Client records may be retained for up to seven years following the end of services to meet legal, accounting and insurance requirements.
Employee records may be retained for up to six years following the end of employment.

HAMPTON HOLT – TERMS AND CONDITIONS
1 - About Hampton Holt
Hampton Holt provides Personal Assistant, Companion and House Manager services to clients within our service area. By booking services with Hampton Holt, you agree to these Terms and Conditions.
2 - Services
Hampton Holt provides support under the following categories:
• Personal Assistant Services
• Companion Services
• House Manager ServicesTasks may include, but are not limited to, household administration, organisation, shopping assistance, accompanied appointments, lifestyle support, pet-related assistance, waiting in for tradespeople or deliveries, and other agreed support services.
Hampton Holt reserves the right to refuse any task which may place staff at risk, is unlawful, falls outside the agreed scope of services, requires specialist qualifications, or is deemed unsafe or unreasonable.
3 - Services We Do Not Provide
Hampton Holt does not provide:
• Personal care, including washing, dressing or toileting
• Medication administration
• Medical care or treatment
• Nursing services
• Financial advice
• Legal advice
• Financial management
• Lifting or moving individuals
• Heavy manual work
• Dangerous or hazardous tasks4 - Bookings and Fees
The minimum booking period is two hours.
Our standard rate is £32 per hour.
Bookings of four hours or more are charged at £30 per hour.
Payment must be made before services commence unless otherwise agreed.
Payment may be made via:
• Website payment
• Bank transfer
• Cash on the day of service5 - Mileage and Expenses
Where a member of staff uses their own vehicle whilst undertaking tasks on behalf of a client, mileage charges will apply.
Where a client is accompanied in a staff member’s vehicle, mileage charges will apply.
Clients are responsible for reimbursing any agreed expenses incurred on their behalf.
6 - Cancellations
Clients may cancel services without charge by providing at least three days’ notice.
Cancellations made with less than three days’ notice will incur a charge equal to 65% of the booked service fee.
Cancellations made within 24 hours of the scheduled service will be charged in full.
7 - Staff Availability
Hampton Holt will make reasonable efforts to provide continuity of service.
Where a regular assistant is unavailable due to illness, holiday, emergency or other circumstances, Hampton Holt reserves the right to provide an alternative team member.
8 - Keys, Access and Security
Clients may provide Hampton Holt with house keys, alarm codes, lockbox access details or other access arrangements where necessary.
Hampton Holt will take reasonable precautions to safeguard such information and property.
Whilst every effort will be made to protect client property and access information, Hampton Holt cannot guarantee against loss, theft or damage beyond the limits of its applicable insurance cover.
9 - Client Money and Financial Administration
Hampton Holt staff may assist with financial administration tasks at the client’s request, including making purchases, collecting prescriptions, handling cash, or using payment cards with explicit client permission.
Clients remain responsible for monitoring and verifying all transactions carried out on their behalf.
Hampton Holt recommends the use of contactless payments or pre-authorised spending arrangements wherever possible.
Hampton Holt does not provide financial management services and accepts no responsibility for losses arising from inaccurate instructions, misunderstandings, or transactions authorised by the client.
10 - Emergencies and Welfare Concerns
If Hampton Holt staff have concerns regarding a client’s immediate welfare, safety or wellbeing, Hampton Holt reserves the right to contact emergency services where appropriate.
11 - Service Disruption
Hampton Holt reserves the right to cancel, postpone or rearrange services due to circumstances beyond our control, including staff illness, vehicle breakdown, severe weather or emergencies.
Where possible, alternative arrangements will be offered.
12 - Complaints
Any complaint regarding services provided by Hampton Holt must be submitted within seven days of the incident or concern arising.
13 - Recording Devices
Clients may operate security cameras, doorbell cameras, audio recording devices or similar equipment for legitimate security and safeguarding purposes.
Clients must inform Hampton Holt and any Hampton Holt team member attending the property of the presence of any recording or monitoring devices located within or around the premises.
Hampton Holt employees acknowledge that recording devices may be present for security purposes whilst carrying out their duties.
Any photographs, video recordings or audio recordings featuring a Hampton Holt employee must not be published, shared, distributed or uploaded to social media, websites or any other public platform without the employee’s prior express consent and the consent of Hampton Holt.
Hampton Holt reserves the right to withdraw services where recordings are used in a manner that breaches the privacy, dignity or safety of its employees.
14 - Non-Payment
Hampton Holt reserves the right to suspend services where payment is outstanding.
Hampton Holt reserves the right to recover any outstanding sums and take appropriate action to recover unpaid fees.
15 - Termination
Clients may terminate services at any time subject to the applicable cancellation policy.
Hampton Holt reserves the right to terminate services immediately where:
• Staff safety is compromised
• Abusive or inappropriate behaviour occurs
• Illegal activity is suspected
• Payment obligations are not met16 - Communication and Direct Engagement
All bookings, amendments, cancellations, payments, complaints and service enquiries must be made directly through Hampton Holt.
Clients must not request, require or encourage Hampton Holt employees to conduct Hampton Holt services privately outside of the business.
Hampton Holt employees are not permitted to share personal contact details with clients for the purpose of arranging services independently of Hampton Holt.
Where communication with a Hampton Holt employee is necessary during the provision of services, such communication must relate solely to the delivery of the agreed service.
Any attempt to bypass Hampton Holt in order to obtain services directly from a Hampton Holt employee may result in the immediate termination of services.
17 - Service Area
Hampton Holt provides services throughout Sittingbourne, Charing, Tenterden, Paddock Wood, West Malling, Higham, Rochester, Strood, Gillingham and surrounding areas within this region.
18 - Acceptance
By booking services with Hampton Holt, clients confirm that they have read, understood and accepted these Terms and Conditions.
